Using Endnotes

The Citavi Assistant can only insert in-text and footnote citations. If you want to use endnotes, you can convert your footnotes to endnotes in Word.

Important:

After you convert footnotes to endnotes, the Citavi Assistant cannot add additional endnotes. Instead, new footnotes will appear. It is therefore important that the steps described here be completed as the very last step before publishing/submitting your paper, when you are completely done adding footnotes (endnotes).

  1. Use a footnote style to insert references into your document.
  2. In Word on the References ribbon, click the small arrow to open the Footnote and endnote dialog:

  3. Select the Footnotes option. Click Convert:

  4. Select Convert all footnotes to endnotes. Click OK.
  5. If you want the endnotes to appear in Roman numerals, open the Footnote and endnote dialog again and change the Number format. Click Apply.

Endnotes in Brackets

  1. If you want to insert endnotes in brackets, change the Number format to 1, 2, 3 … if you have not done so already.
  2. Open the Word styles by pressing Alt+Ctrl+Shift+S. Click the Manage Styles button.
  3. Select the Endnote Reference style and click Modify. If you don't see the style, clear the Show recommended styles only checkbox in the Modify Style dialog.
  4. Click Format > Font and clear the Superscript checkbox.
  5. Close both windows by clicking OK.
  6. Save your document before proceeding.
  7. Switch to the beginning of your document (Strg+Pos1). On the Home ribbon, click Replace.
  8. Place the cursor in the Find what field. Click More > Format > Style. Select the Endnote Reference style and click OK.
  9. Place the cursor in the Replace with field and enter the following characters: [^&]. If endnotes should only appear in brackets in the body of your text, place the cursor at the end of your text but before the first endnote. On the Find and replace dialog under Search options > Search, select Up. Make sure that there's a space in front of [^&]. If the endnotes should appear in the endnote section without brackets but with a period, place the cursor in the endnote section in front of the first endnote. On the Find and replace dialog under Search options > Search, select Down. In the Replace with field enter the characters ^& and a period.
  10. Click Replace all.

Removing the endnote separator

You can change or remove the line that separates your footnotes or endnotes from the main body of your text.

  1. On the View tab in the Views group, click Draft.
  2. In the main body of your text, double-click a footnote or endnote.
  3. The footnote panel opens at the bottom of the document.
  4. To delete the line on the Footnotes drop-down menu, click Footnote Separator. Select the line and delete it.
  5. On the View menu, click Print Layout to return to the previous layout.
