Exporting to Zip
A key feature of this export is its ability to include options to export references along with their attachments. You can also customize the renaming of all PDFs using your own custom Citation Key Templates, offering greater flexibility. In addition, the export allows for attachments to be bundled together into a zip file for easier management and data sharing.
Export references as a Citavi project or as an RIS file
- Open the desired Citavi project.
- In the Reference Editor on the References menu, select Export Project Selection.
An export wizard is displayed.
- Click Next.
- Select Citavi project file or RIS file for the file format.
- In File naming, select one of the following:
- Project name – To retain the project name of the exported file.
- Other – Select this option to enter a file name.
- (Optional) Select Add date to include date/time information to the file name.
- Select whether you want to export all the attachments or only the main attachments.
- Optionally, you can choose to:
- Select Save annotations in PDF files to include the annotations in the exported PDFs.
- Select Refresh metadata in PDF files to replace with reference’s metadata in the exported PDFs.
- Select Rename attachments according to template option to rename PDF files as per your own naming conventions. For more information, see Exporting and Importing Citation Key Templates.
- Select any required additional information such as online locations, note, and so on.
- Select one of the following export options:
- Compress all files in a Zip file – Click Browse and select the target folder where you want to save the compressed Zip file.
- Save all files in a new folder – Click Browse and select the target folder where you want to save all the files.
- Click Export.
All the files are saved either as a zip file or in the selected folder depending on your selection in Step 10.
Export references as a table (.xlsx file)
The exported .xlsx file will reflect the fields in the Citavi Table view.
- Open the desired Citavi project.
- In the Reference Editor on the References menu, select Export Project Selection.
The export dialog is displayed.
- Click Next.
- Select Table (.xlsx file) for the file format.
- In the File naming section, select one of the following:
- Project name – To retain the project name of the exported file.
- Other – Select this option to enter a file name.
- (Optional) Select Add date to include date/time information to the file name.
- Select whether you want to export all the attachments or only the main attachments.
- Optionally, you can choose to:
- Select Save annotations in PDF files to include the annotations in the exported PDFs.
- Select Refresh metadata in PDF files to replace with reference’s metadata in the exported PDFs.
- Select Rename attachments according to template option to rename PDF files as per your own naming conventions. For more information, see Exporting and Importing Citation Key Templates.
- Click Next.
- Select one of the following export options:
- Compress all files in a Zip file – Click Browse and select the target folder where you want to save the compressed Zip file.
- Save all files in a new folder – Click Browse and select the target folder where you want to save all the files.
- Click Export.
Export progress status is displayed. You can click Cancel to abort the export.
- When the export process shows completed status, click Close.
All the exported attachment files and excel file are saved either as a zip file or in the selected folder depending on your selection in Step 10.
Export references as a project bibliography
- Open the desired Citavi project.
- In the Reference Editor on the References menu, select Export Project Selection.
The export dialog is displayed.
- Click Next.
- Select Formatted project bibliography for the file format.
- Select one of the following file formats:
- Word document – The exported bibliography will be formatted as it is in the word document.
- PDF file – The exported bibliography will be formatted according to the selected citations style.
- In the File naming section, select one of the following:
- Project name – To retain the project name of the exported file.
- Other – Select this option to enter a file name.
- (Optional) Select Add date to include date/time information to the file name.
- Select whether you want to export all the attachments or only the main attachments.
- Optionally, you can choose to:
- Select Save annotations in PDF files to include the annotations in the exported PDFs.
- Select Refresh metadata in PDF files to replace with reference’s metadata in the exported PDFs.

- Click Next.
- For select additional information, click Next.
- Select one of the following export options:
- Compress all files in a Zip file – Click Browse and select the target folder where you want to save the compressed Zip file.
- Save all files in a new folder – Click Browse and select the target folder where you want to save all the files.
- Click Export.
Export progress status is displayed. You can click Cancel to abort the export.
- When the export process shows completed status, click Close.
All the exported attachment files and bibliography file are saved either as a zip file or in the selected folder depending on your selection in Step 10.
