Don't Manually Change Citavi Fields

Important:

Every manual change to a citation in your Word document will disappear!
Why's that? The citations inserted by the Citavi Assistant are fields. They act like any other Word fields, such as a table of contents or table of figures. Each time your Word document is refreshed, Word will restore the original content and formatting of your fields, thus overwriting any changes you made by hand.

Adding page numbers

  1. In the Citavi Assistant, click the Citations tab.
  2. Look for the desired reference.
  3. Click Edit wrench_black.
  4. Citavi will open the Citations tab with the reference selected.
  5. On the Citations tab in the Page range field, enter the complete page range without any prefixes, for example 14-15 (not pp. 14-15).
  6. Click OK okay_o_black to apply your changes.

Adding prefixes, such as "c.f."

  1. In the Citavi Assistant, click the Citations tab.
  2. Look for the desired reference.
  3. Click Edit wrench_black.
  4. Enter the desired text in the Prefix field, e. g. ff., or in the Suffix field, e. g. emphasis in the original.
  5. Click OK okay_o_black to apply your changes. To make corrections, e.g. to spacing, repeat the procedure from the beginning.

Adding page numbers while citing

  1. Select the reference on the References tab in the Citavi pane.
  2. Click Edit wrench_black.
  3. Enter the page(s) you're citing in the Page range field, for example 14-15 (not pp. 14-15).
  4. Click OK okay_o_black.

If you insert a quotation from your Citavi project, the Word Add-In will automatically insert its page numbers.

You can also use the Editwrench_black function if you need to add any other additions to the citation, such as c.f..

Correcting typos

You can easily correct the spelling of an author, journal, publisher, etc.

  1. Select the appropriate reference under the References tab or the citation under the Citations tab.
  2. Click Edit wrench_black.
  3. Select Edit in Citavi Web.
  4. Correct the typos in your project. If you need to correct the name of a person, journal, or publisher, you will need to do so under Lists.

When you switch back to Word, all citations for the reference are updated.

Correcting formatting

If you want author names to appear with different formatting, for example in small caps, change your citation style. After changing the style, all citations are updated.

Changing the bibliography's font, font size, line spacing, and tabulation

Edit the Word style Citavi Bibliography Entry for bibliography entries and the style Citavi Bibliography Heading for the bibliography heading.

Stuck in a field?

When you insert a citation using the Citavi Assistant, Citavi will place the insertion point (cursor) after the field so that you can continue typing or insert a new citation. Under certain circumstances the cursor remains in the field. If this happens, press the right arrow key to get out of the field.
