Creating a Publication with Word

You are using Microsoft Word to write a research paper, thesis, or journal submission. You can use Citavi to insert formatted citations and quotations into your document. Citavi automatically creates a bibliography in the citation style of your choice.

1 Open your project in Citavi. Open Word, and then click Citavi. If you don't see the Citavi tab, see this chapter.

2 Click Citavi pane. If the pane is disabled (grayed out), see this chapter.

3 Click the name of the Citavi project you want to assign to your Word document. You only need to assign a project to your document once. The next time you open the Word document, the Citavi Word Add-In will load the corresponding project.

4 Select a citation style. Although you can change citation styles at any time, you should decide at the beginning whether you want to use in-text citations or footnotes. (Need help finding a style? See this chapter.)

Hint

You can insert your categories as headings. You can also insert all of the knowledge items in your project.

5 To insert a citation, search for a the author's name or a word from the title. Select the entry on the References tab. Click Insert.

6 Citavi inserts a the citation in the format specified by the current citation style. b The green checkmark in front of the reference shows that you cited it in your document. Citavi also displays c how often you cited the reference. When you click this information, Citavi jumps to the next spot in your document where you cited the reference.

Why do I see the warning "To edit, see citavi.com/edit", and why shouldn't I make changes to fields directly?

Citavi inserts citations into your text as fields. These fields are embedded in a Word content control. Avoid making manual changes to these fields, since your changes will be overwritten the next time the document is refreshed. To add or change page numbers, double-click the field. On the Citations tab you can make the changes you want. Misspelled author names should be corrected in your Citavi project.
If the cursor is still in the field after you insert it, press the right arrow key to continue typing.

7 You may want to change the appearance of the citation. Click Insert advanced to do so.

8 You can a change the formatting for the citation later on or b add or correct the page range.

9 To insert quotations, switch to the Knowledge tab. Select the desired quotation and click Insert. Depending on the citation style, Citavi will either insert the citation directly in the text (see screenshot below) or will insert the quotation with a footnote containing the citation. The green checkmark lets you know that the knowledge item was inserted in your document.

10 The citations for all sources that you cited can be viewed on the Citations tab.

11 Citavi automatically updates the bibliography. If you want, you can move the bibliography or change its formatting, for example, to change the text justification or line spacing.
